Experiencing true relief and freedom from the constant feeling of overwhelm in managing tasks and time has been a decades-long journey for me.
The challenge with traditional approaches
I've tried various methods to get a handle on my daily responsibilities, but often found myself hitting the experiencing the same issues.
When to-do lists just grow
- I started with simple to-do lists, adding priorities as I went.
- However, these lists just kept growing, quickly leading to more overwhelm.
- It became hard to know when I could realistically take breaks during the day, or even plan days or weeks ahead.
Calendar complexities
My next step was to put high-priority tasks directly into my calendar. This was an attempt to:
- Allocate specific time for focused work.
- Ensure important tasks received the attention they needed when they needed it.
But when new tasks came along, I faced a dilemma:
- Should I prioritize them immediately?
- Should they go straight into the calendar, or back onto a low-priority to-do list?
The combined dilemma
There was also the issue of tasks with specific deadlines, alongside regular daily and weekly items like:
- Taking breaks
- Meal times
- Resting
- Shopping
- And many more personal and business commitments
In brief, the combination of a to-do list and calendar still created a sense of overwhelm. I found myself dreading looking at my schedule beyond today's priorities.
My journey to a streamlined solution
I realized that most items on my list needed to be done or at least managed by me. This led me to developing a more personalised and intricate approach.
Introducing a multi-calendar approach
I began to allot estimated times to tasks and distribute them across several distinct calendars:
- Daily rescheduleable calendar: For flexible tasks that could shift.
- Regular, generally unmoveable tasks calendar: For consistent, recurring commitments.
- Confirmed and mostly unmoveable tasks calendar: For appointments and fixed deadlines.
- Family calendar: To track tasks for other family members and serve as reminders for me.
The custom rescheduler: a game-changer
You might think managing multiple calendars would increase overwhelm, and I agree it could. This is why I created a custom rescheduler interface.
How it works for daily tasks
My rescheduler is designed with key default settings:
- My default working day and times.
- A buffer of free hours each day, in case tasks take longer or new important items arise.
- The desired gap between tasks.
The interface then lists all tasks from the daily calendar, including any missed from the last 7 days, and upcoming tasks for the next few days (defaulting to 2 days). This list allows me to:
- Easily change task durations and details.
- Drag and drop tasks to reorder their priority.
- Keep recurring tasks in their existing scheduled slots.
- Hold other tasks in their current place if they are confirmed or unmoveable.
- Delete tasks that are no longer needed.
- Quickly assign high or low priority, moving them to the beginning or end of the list.
Automation in action
Once I've made my adjustments, I simply click a "reschedule" button. In a few seconds, the system then:
- Automatically reschedules all selected tasks.
- Ensures there are no overlaps.
- Effectively allocates the necessary time in my day to complete everything.
I still manually manage the regular, confirmed, and family calendars, which only takes a few minutes each day.

This process has significantly transformed my daily routine.

- I spend about 15 minutes each day reviewing and rescheduling tasks for the upcoming days.
- I generally find I have the time to accomplish all my tasks.
- If needed, I can quickly tweak timescales, gaps, and daily free time settings in the rescheduler.
- This daily organization for the next 7 days takes only a few minutes.

The feeling of freedom is immense. I now consistently have the free, family, personal, and recreation time I've aimed for. It's such a welcome change that I sometimes feel a sense of guilt, simply enjoying free time instead of being busy managing tasks.
